Record vendor bills, and edit, cancel or delete a purchase while your stock and plant batches stay in step
A purchase is a vendor bill: seeds, trays, fertilizer, growing media — or ready plants bought in from another nursery. The moment you save it, everything on the bill lands where it belongs:
The bill is always worked out again when you save — item discounts, any bill discount (taken off before GST), GST and freight — so the totals you see are the totals that are stored.
Choose Edit purchase from the row menu on the Purchases list, or the button on the purchase's own page. The same form you used to record it opens with everything filled in. You can change the vendor, invoice number, date, unit, payment, freight, notes and bill discount — and the items themselves: add or remove a line, change the product, plant or variety, quantity, rate, discount or GST.
One rule: if plants or stock from an item were already sold or used, that item's quantity can't be changed any more (its price still can). The message says what was sold — for example "12 plants from SB-104 were already sold. Cancel/delete those sales first."
On a credit purchase, the amount already paid can't be more than the new total — lower the paid amount first.
Cancel purchase takes back everything the purchase added: its stock comes off the Stock screen and its plant batches are removed. The purchase stays in your list as Cancelled, so you still have the record. A cancelled purchase can't be edited.
Delete purchase works for any purchase. If it isn't cancelled yet, its stock and plant batches are taken back first — exactly like cancelling — and then it is removed from your purchase list. A purchase that is already cancelled is simply removed from the list.
A purchase can only be taken back while nothing it brought in has been used. If it can't, the message tells you what and what to do:
A plant batch that came from a purchase can't be deleted from the Sowing Batches screen — edit or delete the purchase instead, so the batch and your stock stay in step.
